Group Forms vs. Personal Forms

When creating surveys, polls, or quizzes in Microsoft Forms, you can choose between a Personal Form (default) or a Group Form. Selecting the appropriate option helps ensure proper access and long-term management.

Personal Forms

By default, forms are created under your individual account, with you as the sole owner.

  • File uploads are accessible only to the owner
  • Sharing options include:
    • Collaborative link (for co-editing)
    • Duplication link (to allow others to copy the form)
    • Assigning the form to a group
  • Attachments are stored in your own OneDrive (Apps > Microsoft Forms)

Group Forms

For shared ownership and continuity, consider creating forms within an existing Group.

  • All group members can manage the form and view responses
  • Attachments are stored in the group’s SharePoint document library (Apps > Microsoft Forms)
  • To create a Group Form:
    • Scroll to My groups on the Forms dashboard
    • Select the desired group
    • Choose + New Group Form ** *or *+ New Group Quiz

Notifications

To receive notifications when new responses are submitted:

  • Go to Settings
  • Enable Get email notification of each response and specify recipients as needed

Moving a Form to a Group

If a form was initially created as a personal form, it can be moved to a group; however, this action can only be completed once.

  • Click the ellipsis (…) next to a Form and choose Move to a group
  • Select the desired group and confirm

As the semester concludes, this is an ideal time to transition ownership of important forms to a group to ensure continued access to responses and uploaded files, even if team membership changes.
